We’re looking for an Office Manager / Team Assistant who will be the true office owner,  the person who takes responsibility for making sure everything in and around the office works perfectly. From greeting guests and managing facilities to organizing team events, supporting light HR tasks, and keeping our colleagues happy, you’ll be the face of our company and help take our employee experience to the next level.
Your Responsibility
 Daily essentials
  • Make sure kitchens are stocked with drinks and snacks
  • Welcome guests and visitors with a smile
  • Handle incoming and outgoing mail
  • Be the first point of contact when something isn’t working – and coordinate solutions
✨ Weekly / monthly
  • Order food, beverages, and office supplies
  • Manage employee benefits
  • Organize our monthly All Hands and other team events
  • Manage the office budget
✨ Projects & ad-hoc
  • Organize summer & winter company parties, surprises, and fun initiatives
  • Support office moves or setting up new departments/teams
  • Act as main contact person for cleaning services, facility management, and landlord
  • Help shape the office culture and be our feel-good manager
✨ Team Assistant & HR support
  • Answer emails from candidates and coordinate interviews
  • Make sure meeting rooms are set up for external guests (e.g., candidates) with drinks & snacks
  • Support onboarding of new colleagues (welcome packages, desk setup, first-day tour)
  • Assist with light HR/recruiting tasks and small admin projects
Your Experience

  • You speak and write fluently in both German and English at C1 Level (this is essential)
  • You love organizing, planning, and taking ownership
  • Multitasking? No problem, you know how to set priorities
  • Strong interpersonal skills and friendly, open communication style 
  • A solution-oriented and hands-on “we can do it” mindset
  • Comfortable with Google Workspace & Office tools; project tools (Asana, Miro) are a plus
  • Strong organizational skills and ability to set priorities
  • Discretion and reliability when handling sensitive information
  • Experience as a coordinator/ customer care / hospitality / hotellerie/ event management is a big plus
